Schiphol Fund Privacy Statement

With this Privacy Statement, Schiphol Fund wants to offer maximum transparency on how Schiphol Fund treats any personal data processed and the purposes for which these data are used. This Privacy Statement is intended to inform you of how, why and for how long the Schiphol Fund collects and stores your data and how you can manage your data. The information in this document applies to all personal information processed by or on behalf of the Schiphol Fund.

Which personal data is processed by the Schiphol Fund and why?

In order to be able to assess, process and complete your application, we need to request the following personal data.

  • First name and surname
    We would like to have your full name so we can address you personally.

  • Email address
    We will use your email address to send you information about your claim and its resolution. In addition to the above, we can also send you a general email several times a year, with your permission of course.

  • Telephone number
    We would appreciate having your telephone number on record so we can call you with any questions about your application or the donation received.

  • Your name and address details
    In order to correctly assess your application, we must be able to get in touch with you.

  • Position
    To ensure that the person submitting the application is authorised to do so, please give us more information on your position.

Royal Schiphol Group donations ceremony

The awards ceremony for general donations will take place at the headquarters of Royal Schiphol Group. During the event we offer applicants a tour of the airport. In connection with the security rules that apply at Amsterdam Airport Schiphol, we require all tour participants to submit their name, telephone number, date of birth and a copy of their ID. These personal details are only required for this activity at Amsterdam Airport Schiphol and will be destroyed after the event.

Visual material

If your application includes visual material to be assessed, such as photos or videos, you automatically give Schiphol Fund permission to use this visual material for the purpose of your application and possible donation.

Our photographer takes images during the donations awards ceremonies, which you will receive in digital format. If the Schiphol Fund wants to use photographs or other visual material for our website, social media channels or otherwise, we will ask you for your permission in advance.

Retention period

A donation is a contract. The legal retention period of all data for a donation is seven (7) years after termination of the contract. The contract is officially terminated when you have completed the financial statement for the donation. Your data will then remain stored in the secure database for a maximum of seven (7) years, after which time it will be destroyed.

If the Schiphol Fund fails to honour an application, we will return all documents belonging to the application. We will save the application form and the project description anonymously for a maximum of 2 years.

Protection of your data

The Schiphol Fund does everything within its power to protect your personal data against loss and unauthorised use. All Schiphol Fund employees who have access to personal data as part of their work are required to maintain confidentiality. Your data will only be supplied to third parties if this is necessary for the performance of the aforementioned purposes. We will not share your data with third parties for commercial purposes, now or in future.

Your rights

If the Schiphol Fund has processed your personal data, you are entitled to request us to:

  • View your data;
  • Change your data;
  • Delete your data;
  • Transfer your data to another party;
  • Stop using your data;
  • Object to the processing of your data.

We will inform you as soon as possible about the processing of the request.

Amendments

The Schiphol Fund reserves the right to revise its Privacy policy from time to time. This may be the result of policy changes, changes in data processing or in the system Schiphol Fund uses to process its data, which is a continuous process. Our website always contains the most recent version of our Privacy Statement and we recommend that you peruse it regularly.
